Job Title: Donor and Client Support Administrator
Department: Development
Reports To: Executive Director
Job Status: Non-Exempt, Full Time
Schedule: 35 hours per week; Monday – Thursday
Pay: $22/hour
General Statement of Duties:
The Donor and Client Support Administrator administers systems, inputs data, develops forms and reports, and manages WFCM’s primary mail campaigns, giving statements, and tax credits. This team member also supports other Development team members and Executive Leadership with reports, forms, data entry, lists for communications, and other administrative functions.
Specific Duties and Responsibilities:

Process donations and donation reports weekly
-
Process weekly, monthly, periodic, and quarterly donation receipts and letters to donors, including mail merge, labels, and corresponding data entry in database
-
Manage Neighborhood Assistance Program
-
Manage direct mail campaigns including segmenting the lists, preparing the mailing lists, and coordinating with vendors
-
General administration of databases and platforms for donations including set up or assisting with set up of campaigns in donor management system, online donation system, website, and any other systems as appropriate

Manage calendar year giving mailing in January of each year for the prior giving year including updating the letter, running reports, verifying data, and delivery of statements working with mail house on printing of letters, annual reports, and envelopes and emailing to corporate partners

Develop and maintain reports regarding fundraising events, donations, and communications
-
Develop reports and forms to support Development, Client Operations, and general operations
-
Research, recommend, and develop processes or implement systems to improve efficiency while focusing on security of data

Assist with data entry and reconciliation of invoices

Maintain email database for communications
-
Maintain WFCM’s profile and event listing on pertinent calendars, i.e., chambers of commerce
-
Prepare quantitative data for grant reports and track deadlines in database system for grant submissions and outcome reports

Support Client Operations by assisting with data entry and data hygiene
-
Use online platform to review and research grant opportunities
-
Provide administrative support for Executive Leadership as needed including assisting with manuals and procedures

Perform other duties as assigned
Qualifications
-
High School Degree or GED required. Associate or Bachelor degree in related field preferred
-
1 year of experience in related field preferred

Proficient in MS Office (Word, Excel, PowerPoint), online database/CRM
-
Data entry/data management skills as well as excellent research skills
-
Willingness to work collaboratively with WFCM staff, volunteers, and donors
-
Ability to fully embrace and articulate the mission, vision and core values of WFCM

Respect for the dignity and worth of all clients

Excellent written and verbal communication skills

Ability to work independently on several projects concurrently keeping organized and tracking progress as well as prioritizing work based on deadlines

Job Title: Outreach Manager
Department: Development

Schedule: 30 hours per week, includes weekend and evening hours as needed
Pay: $22/hour
General Statement of Duties:
The Outreach Manager engages, maintains, and builds partnerships with local congregations, businesses, organizations, and school partners. This team member manages WFCM’s fundraiser and fellowship events, attends fundraisers for WFCM, and participates in Chamber of Commerce and other community meetings on behalf of WFCM. In addition, this team member develops content for communications including newsletters, social media, and event materials.
Specific Duties and Responsibilities:

Manage WFCM fundraising and fellowship events and participate in business fundraisers for WFCM that occur off-site. Responsible for the planning, communications, and implementation of all aspects of the events including post-event activities. May include evenings and weekends.

Represent WFCM at community events and/or meetings online and in-person, including Chamber, local business/organization, and faith community events with the goal of raising awareness about WFCM and WFCM’s services and relationship building which includes early morning, evening, and weekend events.

Develop and deliver presentations to partners regarding WFCM’s services.

Work with Executive Director to develop sponsorship packages for events and annual business partners.
-
Participate in and coordinate tours of WFCM for partners and potential partners. Communicate effectively about WFCM’s activities as well as the impact of partnership.

Participate in and work with Senior Manager, Food and Volunteer Services to coordinate volunteer opportunities for faith and business partners.

Manage segments of donor communications and programs.

Develop and prepare content for weekly, monthly, quarterly, and annual communications to include donor and client correspondence, social media posts, newsletter content, flyers, invitations, signs, videos, and updates to website. Ensure content is accurate, up to date, and on brand using WFCM’s Brand Guidelines. Manage production and distribution of print materials as appropriate working with vendors and co-workers.

Qualifications

High School Degree or GED required. Associate or Bachelor degree in a related field preferred

1 year of experience in related field preferred
